Assistant to the Vice Chairman

The Assistant to the Vice Chairman serves as a strategic partner, promoting strong communications, operational efficiency and supporting the company’s strategic plan and goals.

This role requires exceptional cross-functional communication and problem-solving skills combined with strong project management capabilities. The successful candidate will proactively identify challenges, propose solutions, and execute initiatives that drive organizational success. Additionally, the role involves preparing quarterly updates, coordinating announcements, and fostering collaboration across teams.

Reporting To: Vice Chairman

Key Responsibilities

  • Strategic Problem-Solving: Monitor operations, identify risks or inefficiencies, and present multiple solutions for consideration.
  • Project Management & Execution: Lead and implement projects or initiatives approved by the Vice Chairman to achieve the company’s goals, resolve issues and improve processes.
  • Quarterly Communications: Prepare and coordinate company-wide updates, announcements, and employee engagement initiatives.
  • Team Communication & Coordination: Act as a liaison between the Vice Chairman and department heads, ensuring smooth collaboration and timely updates.
  • Executive Support: Manage the Vice Chairman’s calendar, schedule meetings, and prepare necessary documentation.
  • Document Management: Draft reports, presentations, and maintain confidential records.
  • Cross-Functional Support: Assist various teams when needed to ensure seamless operations, including support for marketing events and campaigns.

 

Requirements

  • Bachelor’s degree.
  • Minimum 3–5 years of experience in executive support or operations management.
  • Strong analytical and problem-solving skills.
  • Excellent organizational and time management abilities.
  • Proficiency in Microsoft Office Suite and collaboration tools.
  • High level of discretion and professionalism.
  • Experience working within architectural or design practice is highly desirable.
